企业英文邮件格式(一) 英语书信结构、书写款式及要求

1.书信结构

英语书信结构一般有以下几个部分组成:

信封(envelope)

英语的信封和中文的一样,有三部分组成,即发信人地址、收信人地址和邮票。只不过英语信封的格式除了邮票所贴的位置(信封的右上角)和中文的一样外,英语信封上要写的发信人和收信人的地址和中文的大不一样。发信人的地址应写在信封的左上角,收信人的地址应写在信封偏中右偏下处,英文书信的地址应从小写到大,先写门牌号码,再写街道、城镇、省或州及邮政编码,最后是国家名称。国家名称的每一个字母都要大写。 如下:

信头 (heading)

称呼(Salutation)

称呼是一封信开头对收信人的称呼,写在封内地址或提示句下两三行。称呼后可以写冒号或逗号。在商业信函或其他正式书信中,用冒号。

在非正式书信中,称呼后用逗号。(注意:尽量避免使用To Whom It May Concern 或Dear Sir or Madam,因为这种称呼已经过时,并且不很友好。改进方法是争取确定收信人的姓名,或使用Dear Human Resources Manager,Dear Friends这样的称呼。在给律师或外交领事写信时,可以使用Esquire或Esq.这样的头衔,但它们不应出现在称呼中。同样,如果收信人的姓名后面有Jr.或Sr.如George Bush,Jr.也不能把它们包含在称呼中。)

主题句(选择性)Subject Line(optional)

电子邮件最重要的部分是主题,假设我们都是很忙的人,在打开邮箱阅读邮件时,第一眼看到的就是邮件的主题。所以,主题应当做到言简意赅并突出邮件重要性。英文邮件的主题需要注意不超过35个字母,将位于句首的单词和专有名词首字母大写。比如:Some questions about C++.在比较正式的格式中,需要把每个单词的首字母大写(介词、冠词除外)。

正文(Body of the Letter)

正文的格式多种多样。商业信函最好使用齐头式。而私人信件通常不用齐头式。在齐头式书信中,全部内容包括日期和信尾问候语,都从左侧顶格开始。段落开头不空格,各段之间空两行。

修正齐头式,是使用最为广泛的一种格式,商业和私人信件都可以使用,尽管在私人信件中不一定要写回邮地址和封内地址。使用没有印刷信头的普通信纸时,这种格式最合适。与齐头式不同,发信人地址、日期,信尾问候语和签名都从中间开始写。其余部分从左边开始。

齐头式信件写信,其正文与称呼之间空一至二行。每段的第一句句子不需要空格,但段与段之间需要空一至二行。齐头式信件的信尾客套话和签名可以有两种款式。第一种写在左下方,这是最常用也是最正式的。另外也可以写在右下方,这种形式则表示写信人与收信人之间的关系比较熟悉随便。

结尾语(com#plimentary Closing)

结尾语在正文之后添加。注意一般结尾语中只有第一个单词首字母大写而剩余单词都小写,此处与称呼不同。

1、信头(Heading)

指发信人的姓名(单位名称)、地址和日期,一般写在信纸的右上角。一般公函或商业信函的信纸上都印有单位或公司的名称、地址、电话号码等,因此就只需在信头下面的右边写上写信日期就可以了。

英文地址的写法与中文完全不同,地址的名称按从小到大的顺序:第一行写门牌号码和街名;第二行写县、市、省、州、邮编、国名;然后再写日期。标点符号一般在每一行的末尾都不用,但在每一行的之间,该用的还要用,例如在写日期的时候。

日期的写法,如1997年7月30日,英文为:

July 30,1997(最为普遍);

July 30th,1997;

30th July,1997等。

1997不可写成97。

2、信内地址(Inside Address)

在一般的社交信中,信内收信人的地址通常省略,但是在公务信函中不能。将收信人的姓名、地址等写在信头日期下方的左角上,要求与对信头的要求一样,不必再写日期。

3、称呼(Salutation)

是写信人对收信人的称呼用语。位置在信内地址下方一、二行的地方,从该行的顶格写起,在称呼后面一般用逗号(英国式),也可以用冒号(美国式)。

(1)、写给亲人、亲戚和关系密切的朋友时,用Dear或My dear再加上表示亲属关系的称呼或直称其名(这里指名字,不是姓氏)。

例如:My dear father,Dear Tom等。

(2)、写给公务上的信函用Dear Madam,Dear Sir或Gentleman(Gentlemen)。注意:Dear纯属公务上往来的客气形式。Gentlemen总是以复数形式出现,前不加Dear,是Dear Sir的复数形式。

(3)、写给收信人的信,也可用头衔、职位、职称、学位等再加姓氏或姓氏和名字。例如:Dear Prof. Tim Scales, Dear Smith。

4、正文(Body of the Letter)

位置在下面称呼语隔一行,是信的核心部分。因此要求正文层次分明、简单易懂。和中文信不同的是,正文中一般不用Hello!(你好!)

正文有缩进式和齐头式两种。每段书信第一行的第一个字母稍微向右缩进些,通常以五个字母为宜,每段第二行从左面顶格写起,这就是缩进式。

但美国人写信各段落往往不用缩进式,用齐头式,即每一行都从左面顶格写起。商务信件大都采用齐头式的写法。

5、结束语(com#plimentary Close)

在正文下面的一、二行处,从信纸的中间偏右处开始,第一个词开头要大写,句末用逗号。不同的对象,结束语的写法也不同。

(1)、写给家人、亲戚,用Your loving grandfather,Lovingly yours,Lovingly等;

(2)、写给熟人、朋友,用Yours cordially,Yours affectionately等;

(3)、写业务信函用Truely yours(Yours truely),Faithfully yours(Yours faithfully)等;

(4)、对上级、长辈用Yours obediently(Obediently yours),Yours respectfully(Respectfully yours)等。

6、签名(Signature)

低于结束语一至二行,从信纸中间偏右的地方开始,在结束语的正下方,在签完名字的下面还要有用打字机打出的名字,以便识别。职务、职称可打在名字的下面。当然,写给亲朋好友的信,就不必再打了。

7、附言(Postscript)

一封信写完了,突然又想起遗漏的事情,这时用.表示,再写上遗漏的话即可,要长话短说。通常在信末签名下面几行的左方,应于正文齐头。

注意:在正式的信函中,应避免使用附言。

英语作文书写格式

一、英语作文题目的书写

@题目是首先映入读者眼帘的,所以要注意题目的书写位置。一定要在试卷作文纸上的上方中间位置书写。同时还应在话题和正文之间留出一定的距离,即比正文行距稍宽一些。

@@其次,要注意题目的大小写,第一个单词的第一个字母和最后一个单词的第一个字母一定要大写。中间的单词除冠词、连词(但如连词的字母多于5个,则大写)和介词外,其他的词都应该大写第一个字母。比如:

例1误:Attitudes toward Money

正:Attitudes Toward Money

@@@写题目不要用括号或引号。题目后除了问号和感叹号之外,不加其它标点符号。

二、文章本体

文章第一段的第一行应与题目隔一行或两行。每段的开头一般应该缩格;即向右缩进约四个字母的间隔;单词与单词之间须留一个字母的间隔,句与句之间须留两个字母的间隔。假若每行的最后一个单词写不下,最好不要轻易拆字移行,可将该单词移到后一行去书写。

三、标点符号

英语的标点符号与汉语的'标点符号在形式上与使用上大同小异。学生容易疏忽的地方,大致有以下几处:

1.英语句号是实心点,而不是小圆圈,如果英语的句号也和汉语一样,则容易和字母“o”相混淆。

2.英语的省略号一般使用“…”是3点,不是像汉语那样用6点“……”

3. 字符号不要写得太长,写长了容易跟破折号混淆。其长度应该与一个字母的宽度相当。破折号的长度约占两个字母的位置。书写破折号时,与前后的单词应有一定的距离。

4.英语中没有顿号“、”。要表示句中较短的并列词语之间的停顿,汉语习惯用顿号,而英语只能用逗号;汉语中连词“和”、“及”等之前不可用顿号,而英语中连接一系列并列项目的“and”或“or”之前往往可以用逗号。

5.使用所有格符号时,要注意放在正确的位置上,以免引起意义上的混淆。如my fathers book不能写成my fathers’book。

6. 汉语中直接引语前的“某某说”等词语之后一律用冒号。而英语中既可用逗号,也可用冒号。当“某某说”等词语在直接引语后时,汉语的引语末尾用句号,而英语一般用逗号。如句子 “Its none of your business,” the young men said rudely.的汉语译文是:“这不管你的事。”年轻人粗暴地说。

7.英语中没有书名号,书名一般用引号。如:Yesterday she saw an English film “Gone with the Wind”

四、英语字母何时要大写

1. 英语句子开头的第一个单词的首字母要大写。实例:How are you? 你好吗?

2. 姓名中的姓和名的首字母都要大写。

实例:Ann Read安·里德, Zhou Hua周华

3. 表示称呼语或职务的词首字母要大写。

实例:Mr Green格林先生, Dr Li李博士

4. 地名、语言名、某国人等词的首字母应大写。

实例:England英国, Beijing北京, English英语, Chinese汉语、中国人

5. 表示编号的词要大写。

实例: Lesson Two第二课 Row 3第三排

6. 星期、月份、节日名称也应大写。

实例:Sunday星期日, September九月, Teachers Day教师节

7. 大多数的缩略词要大写。

实例:CCTV(中国中央电视台), ID(身份证), CD(光盘)

8. “I”和“OK”在句中的任何位置都应大写。

小学英语书写教学任何一种语言都有音、形、义三个层面,对语言作出了书面的记录即是对该语言进行了书写。英语的书写包括字母、由字母组成的单词、以及由标点和单词组成的句子。小学英语教学要求小学生在四线三格本上正确、熟练、清楚地书写,做到大小写、笔顺、连笔、词距、标点和格式正确,初步养成良好的书写习惯。

为了能让小学生在接触英语之初用最少的时间达到大纲的这一要求,本人从小学英语教学的的实际出发谈一谈自己的一些粗浅看法:

一、新授规则坚持规范性

一切行为都要受到约束,因此英语书写也得循规蹈矩,如字母略向右倾斜度一致、大写字母都不顶到四线三格的第一线等等。教师在新授每一个规则时都要以书写体来规范学生,这种规范的做法要坚持始终,否则错误的容易先入为主,只有坚持规范性教学才能为后继的书写教学打下一个坚实基础,学生才能逐步培养良好的书写习惯。

需要补充说明的是,书写规则也不一定完全是灌输,很多规则可以通过教师指点学生观察得出。如通过呈现“Helen、Mike”等英美人名并让学生与一般单词比较,就可让学生很直观地了解到英文中人名的首写字母应用大写。

二、练习形式呈现多样性

小学英语教学的另一重要目的在于培养学生学习英语的兴趣,口语的练习是在创设的情景之下进行的,具有交际性和趣味性,学生比较乐于接受,而书面的作业,诸如抄写、造句等则显得枯燥了一些。为了避免打击学生学习英语的积极性。老师在杜绝狂抄滥写的同时,如果能开动脑筋设计形式新颖的书写练习(如搭配、改错、替换等),会对学生产生很大的吸引力,就是最简单的抄写字母也要变换着方式,如按元音归类抄、

按大小写字母分类抄。教师把“少而精”的练习奉献给学生,学生自然不会产生畏惧的情绪和泛味的感觉。

花样繁多的`练习形式在实际运用时还要遵循循序渐进的原则,如:抄写“The quick brown fox jumps over the lazy

dog”并把这句话中的小写字母改成大写字母。这类题就属于综合了字母书写,单词书写和句子书写要求的题,这类题应该放在字母教学之后,并且练习前已讲授过单词和句子书写的要求。

三、评讲练习重视可比性

英文书信的格式1、 信头(Heading) 指发信人的姓名(单位名称)、地址和日期,一般写在信纸的右上角。

一般公函或商业信函的信纸上都印有单位或公司的名称、地址、电话号码等,因此就只需在信头下面的右边写上写信日期就可以了。 英文地址的写法与中文完全不同,地址的名称按从小到大的顺序:第一行写门牌号码和街名;第二行写县、市、省、州、邮编、国名;然后再写日期。

标点符号一般在每一行的末尾都不用,但在每一行的之间,该用的还要用,例如在写日期的时候。 2、 日期的写法:如:1997年7月30日,英文为:July 30,1997(最为普遍); July 30th,1997;30th July,1997等。
